Planner Squad Swap: Sign Up for April 2017

The March swap was a huge success – and much more stress-free than it has been in the past. I want to thank all of you amazing swappers who have stuck with us with our recent changes. I can definitely see how adding the small fee has made a huge difference in how smoothly the swap is running. Thank you again!

Now that the March is in the books, its time to get working on April! Yep, that’s right, time for another Planner Squad Swap sign up!

Please pay attention to everything in this post as the swap rules have changed! Also, mark these dates in your planners! We’re super strict on our rules, so you don’t want to miss any of this super important info.

Important! Swap Changes!

We’ve made a major change to the monthly swap rules. From now on, we are charging a small fee to participate. 

Why? Because running this swap takes a lot of time and can be very frustrating at times. Especially when members refuse to read the provided information and follow simple rules.

Not only has this fee made it worth the time spent away from my family and other work projects, but it also caused a significant decrease in flaky swappers and rule breakers. Definitely a major swap win!

Please note – this fee does not guarantee you will receive a swap package in return. While we certainly hope that this will deter the flakes, we have absolutely no way to guarantee it. This is still very much a buyer-beware kind of situation.

Sign ups are non-refundable

The fees are in place to help cover the time it takes me to run the swap. If you back out, I will have to spend even more time matching your partner up with someone new. For that reason, all of the swap sign up fees are final and non-refundable under any circumstances. 

We do understand that sometimes life happens and problems arise. When this happens we will try to work with you if you have to send your package late, within reason. Communication is key – so please get in touch with your partner asap, and keep the communication strong!

Only members of our facebook group are eligible to sign-up

Anyone can participate in our swaps, as long as you are a Squadette, aka a member of our facebook group, and have not been banned due to breaking rules in the past. Want to be a Squadette too? Come join us in our awesome facebook group!

[Yes – we will check if you are a member or not. You will not receive your partner’s info until you are confirmed as a member of the group. So make sure you join now if you haven’t already!]

There is a spending limit

You are required to spend a minimum of $15 BEFORE shipping. This total used to include shipping, but honestly, you can’t buy too much these days for less than that, and we want these swaps to be quality. That’s why we’ve made this change. If you don’t think you can swing spending $20-$25 after shipping costs, then you shouldn’t sign up for this swap.

Shipping tips

The best way I’ve found to ship a good amount of oddly shaped products while keeping the cost low is by sending USPS priority in a flat rate box or envelope. This can range from anywhere between $6-$18 in shipping costs depending on how big your package is. This option also includes tracking.

If you want to keep within a specific budget, I recommend picking your flat rate packaging first, then only buy items that you know will fit inside. You can get the priority packaging for free at any post office.

International swappers can keep their costs low by keeping their packages as lightweight as possible, and evenly spread. For example, if you send a package that is just stickers, inserts, dashboard, covers, etc and theses items are approximately the same size and thickness, you can generally send them in a documents envelope.

When packages become uneven and heavier than 1 ounce, they begin to get pricey. For more tips on how to keep international shipping costs low, visit your local post office and ask a worker for their for advice.

Consequences

Once you are signed up and have received your partner info email, you are required to send your swap. If your partner does not receive their tracking number by the end of the day on the 15th of the month, you will be placed on a warning list. This means if you’re ever late again, you will not be eligible to swap in the future.

International swappers are exempt from this rule only because it is extremely expensive in most cases to add the tracking number. That being said, international swappers will be at a higher risk because we will have no way to hold swappers accountable.

If your swap partner does not receive a package from you by the end of the day on the last day of the month, then you will be banned from future swaps, and the Planner Squad Facebook group indefinitely.

You will also be added to a public list alerting others that you did not follow through with your swap as promised. This list will be public so that others will know not to swap with you in the future.

There will be zero tolerance for rule breaking and flaky swapping.

Important Dates

March 31, 2017: This is the signup deadline for the April 2017 swap.

April 2, 2017: An email with your swap partner’s information will be sent to your provided email no later than this date. I will begin sending partner emails immediately and frequently. This will ensure you have plenty of time to shop for your partner and get to the post office. That being said, the quicker you sign up, the sooner you can receive your partner’s information.

If by April 3 you still have yet to receive your partner email, please check your spam folder or type our email address into your email’s search bar. If you are still unable to locate it, please contact me as soon as possible.

All emails will be sent from plannersquad@gmail.com, so add us to your contacts and/or create a filter so our emails will always go to your inbox!

April 15, 2017: This is the shipping deadline which means all swap packages MUST be shipped (with a tracking number sent to your partner) by the end of the day on April 15th.

Sending a tracking number is mandatory, not optional, so make sure you don’t forget this! Failure to send a tracking number on time may result in being banned from future participation.

Please note: order numbers are NOT the same as tracking numbers! Your package needs to be shipped by the shipping date. If you send your partner an order number that shows an order was placed on the shipping deadline date, you will be considered late and could possibly be banned from future swaps.

April 30, 2017: All participants must have received a package by the end of this date. Anywho who has not received a package by this date should report it to me immediately.

This is crucial to keeping the swap a success and keeping flaky people from signing up and leaving someone else in the dust. Please do not protect flaky swappers!

That being said, I have finally reached my breaking point and have to start benefiting from this financially to make it worth the time spent away from my family and other work projects. I am also hoping this will keep some of the flaky swappers away so we will have an even more successful swap.
